Inside your channel
- Quick links to your website editor and CRM
- Video tutorials and quick answers on our support page
- A way to submit support tickets for any request
How support tickets work
When you submit a ticket, choose the business impact: Not urgent or Urgent. Tickets are handled first come, first served and typically take 3 to 7 business days, depending on priority. No meetings are included in your retainer. Our work is async by design, which means you have unlimited access to our team through Slack, and we support you with voice notes, Looms and messages. This is how we stay steady and deliver great results for every client. Months 1 to 3
Phase 1: Foundational SEO
Before we publish a single blog post, we build your foundation. This phase sets the stage for everything that follows.- SEO topic proposal. You receive a proposed plan for the year ahead of SEO content topics, organized into topical authority clusters built around your specialty and location.
- One time Google Business Profile optimization. We align your profile with the site structure we built for you, so your name, address, categories, services and keyword focus all match.
Included every year
Link building
Backlinks are one of the strongest trust signals Google uses, so building them is part of your retainer all year long. This includes:- Yearly directory submissions. We submit your site to free online directories to build backlinks to your domain, at website launch and again at each renewal. We may add an extra batch in between depending on team workload, and if you benefit from one, you will be notified.
- 1 press release per year. It gives your site launch an authority boost through small press sites. If you want a larger press package, we can custom quote a personalized PR campaign.
- Monthly press opportunities. Each month we look for chances for you to appear as an expert on other websites and in articles.
Every quarter
Quarterly content batches: your blog rhythm
Once your foundation is in place, we move into a steady quarterly content rhythm.- You receive 6 SEO optimized blog posts per batch, published across the quarter.
- Each batch arrives by email as individual Google Docs, one doc per post, so you can read, comment and edit right inside each one.
- You have a 14 day review window from delivery to send any feedback.
- If we do not receive feedback within 14 days, posts are auto published so your SEO plan stays on track.
- You are always welcome to edit inside your website editor after publishing. Our team cannot take revision requests once the 14 day window has closed.
Included monthly
Monthly PR opportunities
This is one of the highest leverage things we do for your SEO, and it asks one small thing of you.- How it works. Journalists and media sites regularly publish Q&A articles and ask for expert sources. When a question fits your specialty and clinical perspective, we send it to you by email or tag you in Slack for your approval.
- What we need from you is speed. These work on a first answer basis and move fast, often with same day or 5 to 10 day deadlines. Treat it like texting your professional opinion to a colleague: clear, honest and ready to be quoted as is. A few sentences in your own voice is exactly right.
- Why it matters. Every press mention becomes a backlink to your site, and backlinks are one of the strongest signals Google uses to judge how authoritative your domain is. A quick, publishable answer beats a polished one that arrives too late.
Month 6
Mid year check in
The first 6 months of SEO are naturally slow. That is normal, expected and not a sign that anything is wrong. We track your performance weekly inside Google Search Console, but meaningful data takes time. New URLs need to be indexed, content needs to be crawled, and Google needs to see consistent signals before it moves you up. At your mid year check in, we review:- Impressions. How often you show up in search results.
- Clicks. How often people actually visit your site from search.
- Indexing. Whether Google is finding and cataloguing your pages.
- Core page performance. If needed, we reassess the optimization of your key service and location pages, record a Loom with our findings and send you an updated plan.
Month 12
Year end KPI check in
At the end of your first 12 months, we sit down with your data and plan forward. This check in covers:- A full review of the past 12 months of SEO performance
- What is working and what we are adjusting
- Your plan for year two
